At Reynard Agencies, we provide professional, end-to-end management and advisory services to Community Schemes, ensuring compliance, financial stability, and efficient day-to-day operations.

 

Our approach combines hands-on management with strategic oversight — giving trustees and owners confidence that their scheme is being managed with care, precision, and accountability.

New Developments & Scheme Establishment

We work closely with developers and estate agents from the earliest stages of a scheme — at no cost prior to registration — ensuring a smooth and compliant setup.

 

To support the successful launch of new schemes, we offer:

  • First 3 months management free of charge
  • Preparation of estimated levy budgets
  • Arrangement of insurance cover
  • Assistance with municipal account setup

 

We also coordinate and attend the Inaugural AGM, ensuring the proper establishment of the Body Corporate, including:

  • Election of trustees and chairperson
  • Approval of budgets and insurance
  • Implementation of governance procedures

Ongoing Scheme Management

We provide full administrative and operational management of Community Schemes, ensuring that all requirements are handled professionally and efficiently.


Our services include:

  • Arranging and attending all General Meetings
  • Preparation and distribution of notices, agendas, and documentation
  • Proxy, nomination, and voting processes
  • Accurate recording of attendance and resolutions
  • Compilation and distribution of meeting minutes


We also attend up to four Trustee Meetings per year (by invitation), including the post-AGM Trustee meeting.


All Special and Unanimous Resolutions are managed in accordance with instructions from the Scheme Executives.

Communication & Administration

Clear, consistent communication is at the core of our service.


We handle:

  • All scheme correspondence, notices, and newsletters
  • Formal communications, including written warnings
  • Queries from trustees, owners, estate agents, and attorneys


Our team is committed to responding to all queries within 48 hours, ensuring reliability and accountability.

Maintenance & Contractor Coordination

We assist Scheme Executives in maintaining and protecting the value of their properties by:

  • Obtaining and presenting quotations for repairs and maintenance
  • Ensuring all work is approved in writing
  • Liaising directly with contractors
  • Supporting projects aligned with the 10-Year Maintenance Plan

Advisory & Compliance

We provide ongoing guidance to ensure that schemes remain compliant and well-managed.


This includes:

  • Advice on Sectional Title and HOA matters
  • Monitoring trustee decisions in line with current legislation
  • Guidance on best practices and governance


We also keep Scheme Executives informed of industry updates, including changes relating to:

  • Community Schemes Ombud Service (CSOS)
  • Sectional Title Schemes Management Act

Technology & Owner Access

We utilise specialised Sectional Title management software to enhance transparency and accessibility.


Owners have secure online access to:

  • Levy statements
  • Scheme rules
  • Important documentation

About Us

Reynard Agencies started as Managing Agents in 1984 when the founder, Les Reynard, took over the management of the complex he was living in - we are still managing this complex today.

 

This year, the company, with 12 employees, are managing 80+ Bodies Corporate.
